Cannot delete accounts from a new company file

Question

I have created a new company file using an industry-specific Chart of Accounts.  Why can’t I delete accounts I do not want to use?  I get an error:  ‘You cannot delete an item that has subitems. Delete or move the subitems first.’

Answer

Reckon Accounts uses a new set of accounts that are orientated towards Australian business needs.  It is a more comprehensive list than previous versions and includes most accounts the average business will need to use over time. 

When you choose an industry-specific Chart of Accounts, Reckon Accounts starts with the comprehensive list and makes inactive a series of accounts that are generally not required for that industry.  With some industries like Agriculture and Manufacturing related industries, another exclusive set of Accounts will be added. 

The error you are experiencing comes about because the account you are trying to delete has sub-accounts (called subitems in the error message) that have been made inactive. 

 

Solution 1

Make the Account inactive rather than deleting it.  Right-click the account and select Make Inactive

If you need this account in the future, you can make it active again. 

 

Solution 2

Delete the sub-accounts before deleting the account 

  1. At the bottom of the Chart of Accounts list tick the box Include Inactive
  2. Go to the account you were trying to delete and make the sub-accounts active
  3. Delete the sub-accounts of the account you wish to delete
  4. Delete the account
