Sharing and Scheduling Content

Insights content can be shared with, or sent to, others, either on a schedule or immediately.


Copying and Sending a URL

Content can be shared by sending the URL of the visualisation, Board, or Dashboard.


Visualisations

To share individual visualisations by URL, click on the cog menu button at the top right, and select Share.


The Share dialog will open with the URL of the individual visualisation selected for copying, pasting, and then sending via email or other communication software.


Boards

To share Boards by URL, click the Share button at the top right.


The Share this Board dialog will open. The URL can be copied from here by clicking Copy URL. This can now be sent via email or other communication software. There are also controls for sharing access to the board with others, which will need to be done. For more detail, see Sharing and un-sharing Boards.


Dashboards

To share Dashboards by URL, click the ellipsis menu at the top right, and select Get link.


The Get Link dialog will open. Click Copy to Clipboard. The current filter values can be included by clicking on the button Include current filter values in URL. This can now be sent via email or other communication software.

Dashboards can also be shared by adding them to Boards, for more detail, see Working with Boards.


Sending content directly


Individual Visualisations

Individual visualisations can also be sent directly as embedded content. Click on the menu button at the top right, and select Send.


The Send dialog opens.

The sections of this dialog allow you to (in order):

  • Change the title of the visualisation
  • Select the method of sending the visualisation, the default (and usual) method being email
  • Add recipients, and by ticking the checkbox, include a custom message
  • Choose the format the visualisation will be sent in
  • Change the filter settings of the visualisation from the current settings

Advanced options also allow:

  • Bypassing row or column limits on the visualisation
  • Include links to view the visualisation for recipients with Insights licences
  • Choosing whether to apply visualisation options, like showing/hiding row numbers, totals, full field names

Dashboards

Dashboards can be sent directly, although it may seem counter-intuitive, by scheduling a delivery for now. See below.


Scheduling content for sending


Scheduling and Sending Dashboards

Dashboards can be scheduled to be refreshed, run, and sent, on a variety of schedules, including immediately. Click on the menu button at the top right, and select Schedule delivery. The schedule is set using the Recurrence drop-down. To send immediately select Send now. You can also send to the destination immediately by clicking the Test now button. Each of the Recurrence schedule options has the appropriate settings.


Dashboards can also be sent to variety of destinations, the default being email, and in the following formats:

  • An attached zip-file containing data from each visualisation as a CSV text file
  • An attached PDF document
  • An inline PNG image

The Dashboard filters can be applied to the scheduled run on the Filters tab.


On the Advanced Options tab there are formatting options that can also be applied, and a custom message can be included.


Scheduling and sending individual Visualisations

Individual visualisations can be scheduled to be refreshed, run, and sent, on a variety of schedules. Click on the menu button at the top right, and select Schedule. Although the dialog has a different layout to that for scheduling a Dashboard, the options are largely the same, although the custom message is set in the recipient section.


Tick the check-box to include a custom message to the recipient(s). There are more options for the format of an individual visualisation than for a Dashboard. The visualisation Filters are available, and there are also the Advanced options for the sending and scheduling. If the recipient does not have an Insights license, then untick the Include Links option, otherwise leave it ticked, and the recipient can click a link in the email to view the content within Insights.

The visualisation can also be sent to the destination immediately by clicking the Send Test button.
