Quick Start - Reckon Insights - Creator

Quick Start

A Creator is able to:

  • Browse shared folders and view Boards, Dashboards, and Visualisations
  • Create Boards and share them
  • Download data from Boards, Dashboards, and Visualisations

Basic folder and visualisation navigation

Click on the Browse menu to view what is available.

Click on Shared Folders to see the accessible folders. There will be an Insights folder, as well as any company folders that are accessible.

The Insights folder contains all the available default visualisations, divided into a few main categories:

Each of these main categories has folders for the types of visualisations available.

Any top level dashboards for the category are available to immediately select, or click on a folder for a visualisation type, e.g.: Reports.

Then select which visualisation to view, e.g.: Aged Creditor Summary.

Click the Run button in the title-bar to re-run the visualisation. Use the folder drop-down above the visualisation title to navigate to other visualisations in the same folder, or back up to the parent folder.

Once back at the folder level, click on the folder links at the top to move back up through the folder structure.

You can also use the side menu to access the same top-level folders as the Browse menu, e.g.: Shared.

Accessing content through built in shortcuts

There are ways to gain quick access to content without having to navigate down through folders. The Browse menu has several entries for this purpose. These same entries can also be found at the top of the sidebar, which may be displayed when browsing the folder structure.

Recently Viewed

All the visualisations recently worked with will be grouped together here, ordered from the most recent back.

Favourites

Visualisations you have set as favourites will all be grouped together here. Simply clicking on the heart wherever it is displayed will set a visualisation as a favourite, and click again to unset.

This option lists the most popular visualisations within your organisation, for quick access.

Create Boards for quick access to relevant content

The Boards options is a great way to collate content into one place, whether it be for your own access or ready for a client consultation.

Existing Boards can be selected from the Boards section of the Browse Menu.

Or searched for by clicking on the Boards section-heading.

This pops up a search criteria box that enables some filtering and sorting.

Boards can also be created from the Boards section of the Browse menu by clicking on the plus symbol (+), which is especially handy when no boards have been created yet.

This opens a dialog to name the new Board, with the default name of New board.

Name the board appropriately and click Create board. This name can be edited later.

Use the Board to quickly assemble and group together visualisations, both individual and Dashboards.

Hover over the Untitled section to display the pencil, then click on it to edit the Untitled section, do the same thing below it to add a description if desired.

Click the blue plus sign by "Pin a Dashboard or Look" and navigate to visualisations you want to pin to the board under this section.

Click the grey plus sign by "New section" to add and name a new section.

Now visualisations can be added as above.

You can easily unpin visualisations via the ellipses menu, and then add different ones.

You can have as many boards as you need. Simply add a board, give it a name, and add whatever visualisations you want to it.

Once you have set up a board, you can share it with other insights users.

Click on Share this board, which opens the dialog to manage access.

Here access to the board can be granted, or revoked. Then either copy and send the Board URL, or tick the check-box to email the people that have just been granted access.

Filtering different visualisations

Filters can always be found at the top of any visualisation.

Simply select the filter toggle option to expand and show all relevant filters on a visualisation. Different types of filters will be present, depending on the visualisation.

Different types of filter are interacted with differently.

There are simple numeric fields, Yes/No fields, pick lists, date-pickers, and free text fields, with the combination of these creating extensive filtering functionality.

They can take a little while to understand and become familiar with, but once you’ve mastered filtering on one visualisation, it’s the same process for all content.

There are some built in functions to make life easier. Filters such as This Financial Year To Date. This option automatically filters transactions that have been entered in the current financial year, based on the source books financial year.

Tooltips and Drill-through to access more detail

Insights visualisations are great for presenting and working with your data, but it’s always useful to understand what makes up the figures of KPIs

All Insights visualisations have some form of tooltip giving you additional information, and where appropriate, prompting you to drill down into the data.

Simply show all the transactions that make up a top figure, decide to download, or explore the data further.

For Reckon One books only, there is the option to drill into the actual book itself, to see the relevant information or item corresponding to the figure you’ve clicked on, e.g.: View this customer.

Dashboards have a variety of options, as they contain different types of visualisations. Always move the mouse over all the different items available to see what functionality has been built-in to view or access additional information. Use the link to the parent folder (above the title) to move back to the parent folder.

Numbers can link through to underlying detail.

Tooltips and drill through are some of the fundamental ways to get more out of your Insights experience, so make sure you browse around and see what you can achieve

Build your own dashboards based on existing content

Dashboards are a great way to present and work with multiple pieces of information at one time.

Insight has many default dashboards, but if you have a Creator license, you can build your own based on existing content.

There are number of ways to set up a Dashboard, but the easiest is to start from a visualisation you want to display on the Dashboard, e.g. the Top Suppliers chart.

When the visualisation opens, there is a settings cog in the top right, click on this.

Then in the menu, click on Save to Dashboard..., which opens a new dialog.

The visualisation information is across the top, and top-level folders in the the left pane. Select the appropriate folder from the left pane, then choose a sub-folder from the right-pane if desired, then click on New Dashboard.

Enter the new Dashboard name and click OK.

Simply repeat the process for any other visualisations that are to be shown on the same Dashboard. Navigate to the visualisation to be added.

Then select the new Dashboard and click Save to Dashboard..

Once you’ve added all the desired visualisations, edit the Dashboard to move items around, and/or resize them to fit.

Downloading, Scheduling and Sending

Being able to share content is key, and Reckon Insights has several built-in options to help get information out to the people that need it most.

Downloading Content

Insights gives the ability to download both Dashboards, and individual visualisations.

Downloading Dashboards

Dashboards can be downloaded in either CSV or PDF format. The CSV choice is for analysis, and the PDF for presentation.

Simply click on the menu button at the top right, and select Download.

Then choose between downloading in CSV or PDF format.

CSV will produce the same number of CSV files as there are elements on the dashboard, each with the individual content of the respective element, although they will be zipped up into one file for downloading.

PDF however, will render all the elements into one document showing the current state of the Dashboard, minus the active elements. For this reason the PDF takes longer to generate.

Downloading Individual Visualisations

Individual visualisations can be downloaded in a variety of formats, for presenting, or analysing with various tools.

Click on the settings cog at the top right of an individual visualisation, and select Download.

The download dialog will open. This provides a of selection download file formats, various options to apply to the downloaded data, and a default filename, which may be accepted or changed.

The same options are available for each of the download formats, excepting the PNG image, which only gets a filename. Click Open in Browser to preview the data in a new browser tab, or Download to download the file.

Sharing, Scheduling and Sending Content

Insights content can also be shared with, or sent to, those having Insights licences, on a schedule or immediately.

Sharing Dashboards

Dashboards can be shared by adding them to Boards, which is covered above.

Scheduling and Sending Dashboards

Dashboards can be scheduled to be refreshed, run, and sent, on a variety of schedules, including immediately. Click on the menu button at the top right, and select Schedule delivery. The schedule is set using the Recurrence drop-down. To send immediately select Send now. You can also send to the destination immediately by clicking the Test now button. Each of the Recurrence schedule options has the appropriate settings.

Dashboards can also be sent to variety of destinations, the default being email, and in several formats, the default being PDF.

The Dashboard filters can be applied to the scheduled run on the Filters tab.

On the Advanced Options tab there are formatting options that can also be applied, and a custom message can be included.

Sharing Individual Visualisations

Individual visualisations can be shared by URL. Click on the menu button at the top right, and select Share.

The share dialog will open with the URL of the individual visualisation selected for copying and pasting.

Scheduling Individual Visualisations

Individual visualisations can be scheduled to be refreshed, run, and sent, on a variety of schedules. Click on the menu button at the top right, and select Schedule. Although the dialog has a different layout to that for scheduling a Dashboard, the options are largely the same, although the custom message is set in the recipient section.

Tick the check-box to include a custom message to the recipient(s). Similar to downloading, there are more options for the format of an individual visualisation than for a Dashboard. The visualisation Filters are available, and there are also Advanced options for the sending and scheduling. If the recipient does not have an Insights license, then untick the Include Links option, otherwise leave it ticked, and the recipient can click a link in the email to view the content within Insights.

The visualisation can also be sent to the destination immediately by clicking the Send Test button.

Sending Individual Visualisations

Individual visualisations can also be refreshed, run, and sent immediately. Click on the menu button at the top right, and select Send. The available options are the same as for scheduling a visualisation, less those pertaining to schedule.
